The Per Diem Advantage: Where the Real Savings Are
The IRS allows truck drivers (and other transportation workers) to deduct a flat $69 per day for meals and incidentals when away from home overnight. This is one of the most powerful tax deductions available to W-2 workers.
OTR driver away from home 250 days/year:
| Item | Amount |
|---|---|
| Per diem rate | $69/day |

FICA is still calculated on full wages ($65,000): $4,973

Per diem saves you ~$2,223/year in federal income taxes.
How to Claim Per Diem
Option 1 — Employer per diem program: Many trucking companies offer a split between taxable wages and non-taxable per diem reimbursement. For example, instead of $65,000 fully taxable, you might receive $48,000 taxable + $17,000 non-taxable per diem.
In this case: federal taxes calculated on $48,000 only, and FICA on $48,000. The tax savings are even larger.
Option 2 — Employee deduction (Form 2106): Less common since 2018 tax law changes eliminated most miscellaneous itemized deductions. Transportation workers who are not reimbursed can deduct the DOT per diem directly, but must itemize — only beneficial if total itemized deductions exceed $15,000 standard deduction.
Days that count: Any day (or partial day) you are required to be away from home for longer than a normal work day, including time sleeping in your cab.

Owner-Operator Taxes: A Different Animal
Owner-operators run their trucks as a business. The financial picture is very different from company drivers.
Gross vs. Net Revenue
| Item | Typical Annual Amount |
|---|---|
| Gross revenue (freight) | $180,000 |
| Fuel costs | -$45,000 |
| Truck payment / lease | -$25,000 |
| Insurance (liability, cargo, health) | -$15,000 |
| Maintenance & repairs | -$12,000 |
| Other expenses (permits, tolls, scale) | -$8,000 |
| Net profit (Schedule C) | ~$75,000 |
Self-Employment Tax
Owner-operators pay both the employer and employee portions of FICA, totaling 15.3% (up to SS wage base) + 2.9% Medicare beyond that.
On $75,000 net profit:
- SE tax base: $75,000 × 92.35% = $69,263 (92.35% accounts for deductible half)
- SE tax: $69,263 × 15.3% = $10,597
You can deduct half the SE tax ($5,299) from gross income before calculating federal income tax.
Income Tax on Owner-Operator
| Component | Amount |
|---|---|
| Net profit | $75,000 |
| SE tax deduction (-half) | -$5,299 |
| Standard deduction | -$15,000 |
| Taxable income | $54,701 |
| Federal income tax | ~$6,334 |
Owner-operator total taxes: $10,597 SE + $6,334 income = ~$16,931 Owner-operator take-home in TX: ~$58,069/year from $75,000 net profit
Owner-operators should pay quarterly estimated taxes (Form 1040-ES) to avoid underpayment penalties. Missing quarterly payments results in penalties even if you pay in full at tax time.
Maximizing Take-Home as a Truck Driver
1. Use employer per diem programs If your carrier offers a per diem split, take it. Even if hourly or CPM rate looks slightly lower, the tax savings often make it worth more in net pay.
2. Log your days away from home meticulously Your logbook is your tax documentation. Keep records of all days away — the per diem can only be claimed for documented days. This is also required by DOT.
3. Consider a Solo 401(k) (owner-operators) Owner-operators can contribute up to $23,500 as employee + up to 25% of net earnings as employer. Maxing this can dramatically reduce taxable income.
4. Track all business expenses (owner-operators) Every dollar of legitimate business expense reduces SE tax by 15.3% in addition to income tax. A $1,000 expense saves $153 in SE tax + $120-$220 in income tax = $273-$373 combined.
5. Home office deduction (owner-operators) If you use a portion of your home exclusively for business (booking loads, accounting), you may qualify for the home office deduction.
